Call Handling - The First Step Towards Success
A call handling or call centre is basically a centralised internal office used for taking or transmitting a high volume of calls by telephone. These are generally used by call centres to handle both inbound and outbound telephone calls made by their clients or customers. There are two main types of call handling that are used by call centres. One is the inbound call handling, while the other is the outbound call handling. An inbound call handling is generally run by an individual business to administer enquiry or incoming new product or service information from customers. The other type of is the outbound call handling, which is generally run by call centres that cater to single or multiple customer companies.
As most call handling centre has the number of callers during business hours, they are mostly open throughout the day. Some of them might be open in the night or at weekend hours also. Some of call handling centres are open at all times, especially during business hours so they can accommodate all callers. However some of them might have limited or no opening during certain hours.
Call handling operators are normally the one who takes responsibility for answering the calls and transferring them to the right departments or employees. There are different types of call handling operators and they include live operators and automated call handling systems. Live operators are those operators that answer the calls during business hours, even if it's not their shift. They are mostly responsible for transferring callers to the correct departments. These operators are however mostly paid call handling operators and therefore their availability is often limited. Automated call handling systems can easily be programmed to answer all calls at specified times and days.
When a customer calls a call handling centre, the call handling agent on the other side will first check whether the callers are really calling for assistance or are just playing pranks on the operator. Then the agent will ask the caller to give a detailed account of the problem. If the caller confirms the problem, the agent will then ask the caller to provide his name, address, company and so on and so forth.
In addition to this, a good call handling system should also provide the customer with the option of cancelling calls. This way, the customer can be in control of the calls and he can decide how much he wants to handle per month. This is very important because customers generally don't want to receive a lot of calls, but only those that they will use. Therefore, it's very important to provide them the option of cancelling calls that are unnecessary. Some call handling centres have a feature that allows the customer to do this.
A good call handling system should have features that allow customers to easily cancel inbound calls as well as inbound calls. For example, the system should allow customers to call the 800 number for voice mail options and the fax option. It should also allow customers to call the local yellow or white line for receptionist services. Moreover, it is advisable for call handling centres to allow customers to make inbound calls even if they are not on the hot line. This will ensure that customers do not feel that they are being brushed out by the centre and will leave with their calls promptly.
Another important part of the call handling is the auto attendant. The auto attendant is the person who will take the calls and pass on messages from the business phone system to the right place. An auto attendant may be provided by the call handling centre or it may be a separate person who will answer the phone and pass messages to the right people. Ideally, an answering service should have a trained person who speaks well, understands what the caller wants to say and can even spell the name properly. These people should be available at all times and not just during specific times. If the business is small, it might be better for it to employ its own employee rather than rely on external call handling services.
Callers usually have different concerns when dealing with call handling. Some may be concerned about receiving an automated message and some want to talk to a live person. It is important for call handling companies to know the needs of the callers so that they can make customized solutions to these problems. In addition, different call types require different solutions. Therefore, call handling companies should be flexible enough to help all callers irrespective of call type and industry. They should listen to the concerns of the callers and provide solutions to them accordingly.
